‘SPS’ receives enquiries about services through the website and by telephone, post and email. Enquiries will typically require the person to enter some form of contact details to allow ‘SPS’ to
follow them up.
For general enquiries, a record of the enquiry is retained by ‘SPS’ until the enquiry has been dealt with and no further follow up is needed.
If a company makes a service enquiry, but does not wish to progress the service enquiry at that time, the details are held on ‘SPS’ internal system for 18 months. This is because ‘SPS’ is often
contacted by companies that are exploring service options, but that are a long way off being ready to proceed.
‘SPS’Marketing department may, from time to time, send existing and past customers direct marketing emails or invitations to participate in surveys or certain activities in the company’s interest.
PEOPLE WHO USE ‘SPS’ SERVICES
‘SPS’ hosts a range of classroom-based training courses, and can also offer training at a customer’s own premises. Delegates are asked to provide their contact details so that they can receive
information about the course, such as the agenda, the Terms and Conditions, and any follow-up material. Occasionally, ‘SPS’ uses these details to promote new training courses, but the delegate
has the option to unsubscribe from these emails at any point.
‘SPS’ retains a full record of each services contract/schedule issued, including name and address details of the end user. This allows a revised or copy contract to be issued on the request of
the end client. The names of domestic end users are deleted from records after 7 years for data protection purposes.
A record of the contract/schedule is held securely on the ‘SPS’ database with access limited to the Issuing Company only. Any personal data referenced will not be shared or processed
otherwise by ‘SPS’.
RECRUITMENT, STAFF DETAILS AND SECURITY SCREENING
In accordance with the General Data Protection Regulation (GDPR), we have implemented this privacy notice to inform you, as prospective employees of our Company, of the types of data we
process about you. We also include within this notice the reasons for processing your data, the lawful basis that permits us to process it, how long we keep your data for and your rights regarding

CRIMINAL CONVICTION DATA
We will only collect criminal conviction data where it is appropriate given the nature of your role and where the law permits us. This data will usually be collected at the recruitment stage,
however, may also be collected during your employment. We use criminal conviction data to determine your suitability, or your continued suitability for the role. We rely on the lawful basis
of The contract of employment to process employees’ personal data in order to fulfil its contractual obligations, plus any specific consent given by the employee for additional services or
WHO WE SHARE YOUR DATA WITH
Employees within our company who have responsibility for recruitment will have access to your data which is relevant to their function. All employees with such responsibility have been
trained in ensuring data is processed in line with GDPR.
Data is shared with third parties for the following reasons:
‘SPS’ will share the applicant’s name, date of birth and address history with third parties (the Criminal Disclosure and Barring Service and credit referencing companies) where it is necessary to
fulfil their contractual obligations to the applicant and to its clients, and where obliged to do so by law.
We may also share your data with third parties as part of a Company sale or restructure, or for other reasons to comply with a legal obligation upon us. We have a data processing agreement in
place with such third parties to ensure data is not compromised. Third parties must implement appropriate technical and organisational measures to ensure the security of your data.
We do not share your data with bodies outside of the European Economic Area.
PROTECTING YOUR DATA
We are aware of the requirement to ensure your data is protected against accidental loss or disclosure, destruction and abuse. We have implemented processes to guard against such.
We only keep your data for as long as we need it for, which, in relation to unsuccessful candidates, is six months to a year.
If your application is not successful and we have not sought consent or you have not provided consent upon our request to keep your data for the purpose of future suitable job vacancies, we will
keep your data for six months once the recruitment exercise ends.
If we have sought your consent to keep your data on file for future job vacancies, and you have provided consent, we will keep your data for nine months once the recruitment exercise ends. At
the end of this period, we will delete or destroy your data, unless you have already withdrawn your consent to our processing of your data in which case it will be deleted or destroyed upon your
withdrawal of consent.
Where you have provided consent to our use of your data, you also have the right to withdraw that consent at any time. This means that we will stop processing your data and there will be no
consequences of withdrawing consent.
If your application is successful, your data will be kept and transferred to the systems we administer for employees. We have a separate privacy notice for employees, which will be provided to
AUTOMATED DECISION MAKING
Automated decision making means making decisions about you using no human involvement e.g. using computerised filtering equipment. No decision will be made about you solely on the basis
of automated decision making (where a decision is taken about you using an electronic system without human involvement) which has a significant impact on you.
BOARD, SUBCONTRACTORS AND COMMITTEE MEMBERS
‘SPS’ Board members, subcontracted service providers and members of ‘SPS’ committees are subject to the same screening process as ‘SPS’ employees. Each individual is asked to sign a
contractual agreement and complete the required documentation before they commence their relationship with ‘SPS’. Personal data requested will be limited to what is appropriate for the role
and kept Confidential at all times. Records are kept by ‘SPS’ for 7 years after cessation of the contract with ‘SPS’.
‘SPS’ has detector-activated CCTV cameras installed/Operational around the Head Office in Kent and other operational locations for the purposes of crime prevention and public safety. ‘SPS’
staff, visitors to ‘SPS’ or passersby may be recorded on these cameras. Where applicable the footage is stored by ‘SPS’ for a limited time before it is overwritten. ‘SPS’ may monitor the footage
in the event of a security breach. ‘SPS’ will only ever share the footage with the local Police force in the event of a criminal investigation. The contact number for CCTV enquiries is stated on
signage around the building.
Visitors to ‘SPS’ locations may be asked to sign in using the Visitors log applicable to each location. Information requested includes name, company and vehicle registration. In the unlikely event
of a fire, this information is used to perform a roll call and ensure all visitors have evacuated the building. The ‘SPS’ car park is private property and is available for use by building staff and visitors
only, and by providing your registration number building/site management is able to identify your vehicle. This information remains at each location and is not shared with any other party.
GUARDING (ALL SCOPE TYPES), KEYHOLDING, ALARM RESPONSE, CCTV AND SECURITY DATA
Security services; inclusive of CCTV, Guarding, Keyholding, Alarm Response, Guarding (All scope types) are engaged for the purposes of maintaining the ‘security’ of property, persons and
premises and for preventing and investigating crime. This can and may encompass the monitoring of employees carrying out duties. For these reasons data processing may include visual
images, appearance records, and behaviour monitoring. This information may pertain to any person entering or operating in the vicinity of an operational location. Where applicable and
necessary or where required by law this information is shared with the ‘data subject’, employees and agents, subcontractors, Police forces and persons making legitimate enquiry. In these
circumstances ‘SPS’ would be considered the data processor and the client/end user remains the ultimate owner of such data.

the parties involved or with other relevant bodies in order to progress the complaint. ‘SPS’ will gain authorisation from the complainant before passing any Confidential information or personal

Complaint details are retained for 7 years before destruction in case of any further proceedings.
